Perfectech ("we," "our," or "us") provides the ESS (Employee Self-Service) mobile application ("App") as a software service to organizations ("Client Organizations" or "your employer"). This Privacy Policy explains how information is collected, used, disclosed, and safeguarded when you use the App.
Important: Your employer (the Client Organization) is the data controller for your personal information processed through this App. Perfectech acts as a data processor, providing the technology platform on behalf of your employer. Your employer determines what data is collected and how it is used within their organization.
Please read this Privacy Policy carefully. By using the App, you agree to the collection and use of information in accordance with this policy and your employer's data protection policies.
1. Information We Collect
1.1 Personal Information
We collect the following personal information when you use the App:
- Authentication Information: Username, password, and authentication tokens
- Employee Information: Employee ID, name, email address, department, job title, and profile picture
- Attendance Data: Clock-in/clock-out times, work hours, and attendance history
- Leave and Time-Off Information: Leave requests, leave balances, leave types, and approval status
- Loan Information: Loan requests, loan status, and loan history
- Permission Requests: Permission requests and approval status
- Payslip Information: Salary details and payslip documents
1.2 Location Information
We collect precise location data when you:
- Clock in or clock out for attendance tracking
- Use location-based features within the App
Location data is collected only when you actively use attendance-related features and is used solely for verifying your work location. We do not track your location in the background.
1.3 Files and Documents
When you upload documents (such as leave attachments or supporting documents for requests), we collect and store these files on secure servers managed on behalf of your employer.
1.4 Device Information
We may collect information about your device, including:
- Device type and model
- Operating system version
- App version
- A generated unique device identifier associated with your account
The unique device identifier is used for security, attendance verification, fraud prevention, and to help prevent unauthorized access. This identifier may be linked to your user account.
1.5 Usage Information
We collect information about how you interact with the App, including:
- Features accessed
- Actions performed
- Error logs and crash reports
Note: The specific data collected may vary depending on your employer's configuration and requirements. Your employer controls what information is collected and processed through the App.
2. How We Use Your Information
We use the collected information for the following purposes:
- Provide Services: To enable core App functionality including attendance tracking, leave management, loan requests, permission requests, and payslip access
- Authentication: To verify your identity and secure your account
- Location Verification: To verify your location during attendance clock-in/clock-out
- Communication: To send notifications about approvals, rejections, and important updates
- Improve Services: To analyze usage patterns and improve App performance and user experience
- Security: To detect, prevent, and address technical issues, fraud, and security vulnerabilities
- Compliance: To comply with legal obligations and company policies
3. How We Share Your Information
We do not sell, trade, or rent your personal information to third parties.
3.1 Within Your Organization
- Managers and HR: Your attendance, leave requests, loan requests, and permission requests may be accessible to authorized managers and HR personnel within your organization.
- Authorized Personnel: Employee information is accessible only to personnel who require it to perform their job responsibilities.
3.2 Perfectech as Service Provider
Perfectech processes your data on behalf of your employer to provide and maintain the App. We act as a data processor and handle your information according to strict contractual obligations.
3.3 Other Service Providers
We may use trusted third-party service providers (such as secure cloud hosting providers) to operate and maintain the App. These providers are contractually obligated to protect your information.
3.4 Legal Requirements
Your information may be disclosed if required by law or in response to valid legal requests by public authorities.

Your information is stored on secure servers using a multi-tenant architecture. Each Client Organization’s data is logically separated to ensure privacy and security.

4.3 Data Retention
Personal information is retained for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required by law. Employee data may be retained for the duration of employment and for additional periods as required by labor laws or legitimate business purposes.

5.1 Access and Correction
You may access and update your personal information through the App where applicable.
5.2 Location Permissions
You can control location permissions through your device settings. Disabling location access may limit certain features, particularly attendance tracking.
5.3 Account Deletion
You may request account deletion directly within the App through the available account deletion feature.
Upon submission of a deletion request:
- Your account will be deactivated.
- Personal data associated with your account will be deleted or anonymized, subject to legal, regulatory, or legitimate business requirements.
- Certain records (such as payroll, attendance, or financial records) may be retained where required by applicable laws or employer obligations.

The App is intended for use by employees of Client Organizations and is not directed to individuals under the age of 18. We do not knowingly collect personal information from children.

Depending on your employer’s configuration, your information may be transferred to and maintained on servers located outside your country of residence. Appropriate safeguards are implemented to protect your data in compliance with applicable data protection laws.
8. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. Updates will be posted within the App or on the designated Privacy Policy page, and the "Last Updated" date will be revised accordingly.
